Mission
To support and fulfill all tasks related to administrative management, procurement and logistical support for the project.

Tasks: (Under the supervision of the DCOP)

  •  Manage and administer disbursements of office petty cash and ensuring timely replenishment, and recording all petty cash transactions in PC reconciliation
  • Ensure each transaction has adequate justification back-up documentation
  • Ensure proper filing and storage of petty cash transaction vouchers
  •  Ensure timely VAT reporting and reimbursement requests
  •  Prepare and monitor procurement process: develop RFQs, publish / distribute RFQs, collect responses, prepare bid analysis, prepare purchase orders
  •  Manage office logistics
  •  Manage car fleet of program: (vehicle log books, vehicle maintenance etc..)
  •  Organize and supervise office maintenance
  •  Manage the duty-free customs clearance of merchandise (vehicle registration, temporary admission requests, personal effects for expat/TCN staff)
  •  Manage office inventory: ensure all equipment has inventory number and tags, ensure all equipment is logged in inventory list, manage annual inventory update
  •  Manage office supplies
  •  Assist in the preparation of program activities: procurement of supplies, preparation of purchase orders, assistance in the identification of vendors and service providers
  •  Preparation of advances and reconciliations
  •  Ensure administrative documents of expat personnel are up to date: visas to be in country, customs exemption documents, etc…
  •  Provide logistical coordination of international consultant and home office visits: visa requests, lodging, airport pick-up/drop off
  •  Supervise office drivers, program assistant and office cleaners.
  •  Conduct any other tasks as assigned by the DCOP and COP.

Profil du poste

Qualifications:
• Baccalauréat +2 in procurement, administration or any other related field
• French and English fluency required
• At least 3 years previous experience in administrative, procurement and logistical support
• Experience working on international donor funded programs. Experience working on USAID funded programs is an advantage.
